Manage tasks with 1Password SaaS Manager

Learn how 1Password SaaS Manager uses tasks to control the handoff between automation and work that still requires a person.

Tasks are the controlled handoff point between automation in 1Password SaaS Manager and support work that still requires a person. SaaS Manager completes the steps it can, then creates a task when human action is required, assigns the task to the right person, tracks progress, and keeps a record of what happened.

Tasks can support access approvals, manual provisioning, app onboarding checks, renewal reviews, and other actions. They can also capture additional steps in a provisioning workflow, such as adding a user to a group or completing an app-specific setup step.

When you’re getting started, it’s easiest to start with one app and one repeatable process, such as manual access provisioning. After your team understands who owns the task, how to update it, and where completion is recorded, the same process can be used for onboarding, offboarding, access reviews, and other workflows.

How it works

A workflow creates a task. For example, if an employee requests access to an app that doesn’t support automatic provisioning, SaaS Manager will create a manual provisioning task instead.

SaaS Manager then sends the task to the right owner, such as an app’s admin, owner, a custom app role, or another designated person. SaaS Manager can notify any assignees by email or Slack when they recieve the task. Learn more about how to assign owners, admins, and custom roles for apps.

When a task owner is notified, they can go to the Tasks page to review activity, update task details, add comments, and subscribe to tasks they need to follow.

After a task is completed and closed, SaaS Manager can provide a record of the action and continue the workflow. Task workflows can also trigger follow-up actions when a task is created or becomes overdue.

Find and manage tasks

Use the Tasks page to review and manage work across your organization. You can filter tasks by assigned tasks, due date, staus, and task type.

Open a task to view details, update progress, view activity, add comments, or change the assignee. Users can subscribe to tasks to recieve updates, and admins can create saved views for different teams or workflows. Saved views can remain private or be shared with your team.

For example, an IT team might create separate views for:

  • Pending access approvals.
  • Manual provisioning tasks.
  • Overdue tasks.
  • Tasks due during the current week.

SaaS Manager may create tasks even when automatic provisioning is turned on, since some apps still require a manual step, such as assigning a license or accepting an account invitation.

Manage approvals and missed notifications

Approval chains are configured through the App Catalog and access levels. SaaS Manager supports multi-stage approvals, and teams can use Slack notifications and action buttons to make approval requests easier to see and complete.

Approval escalation should be configured deliberately. Escalation is designed to help with overdue approvals, but doesn’t replace delegation for planned absences, such as vacation or parental leave. Admins can define backup approvers, review notification settings, and decide which access policies require approval. Where appropriate, access policies can be configured without approval.
