The SaaS Manager administrator dashboard gives IT, security, and finance teams a central place to understand and manage the organization’s SaaS and AI environment. It brings together app discovery, access management, usage, spend, and workflow activity so teams can make informed decisions from one shared view.
Use the dashboard to:
- Understand your SaaS environment: See the apps discovered across connected sources, including identity providers, finance and HR systems, direct app integrations, browser activity, and other data sources.
- Prioritize what needs attention: Identify new or unmanaged apps, shadow IT, access issues, risky permissions, unused licenses, and upcoming renewals.
- Manage app access: Review who has access to apps, manage access requests, configure approval policies, and support onboarding, offboarding, and access reviews.
- Optimize SaaS spend: Analyze spend by app, owner, status, cost center, or category. Use license and usage information to identify opportunities to remove, downgrade, or consolidate licenses.
- Automate recurring work: Configure workflows for activities such as onboarding, offboarding, access requests, access reviews, and license management. Connected apps can support automated provisioning and deprovisioning, while other processes can be managed through tasks.
Navigate the sidebar
Use the left-hand sidebar to review the different tabs and functions available within SaaS Manager. These tabs provide complementary views of the same SaaS environment. For example:
- Contracts and Spend show what the organization has committed to and what it’s paying.
- Activity and AI Consumption show how apps and AI tools are being used.
- People and Teams show who has access and how access is organized.
- Devices connects SaaS activity to company hardware and employee lifecycle events.
- Assessments adds qualitative context from users.
- Audit Logs provide the record of administrative and security-related activity.
Dashboard
The dashboard provides a high-level view of your SaaS environment, including app inventory, managed apps, spend summaries, upcoming renewals, and access requests. Select a metric or summary card to see the underlying apps, users, or reports.
The “SaaS management” tab is the operational view of your SaaS environment. It helps admins understand what apps are in use acrtoss your organization, who has access, how apps are managed, and where action may be needed. It uses activity data from sources such as direct app integrations and the SaaS Manager browser extension to show which business apps people are accessing and how actively they’re being used.
The Activity tab provides visibility into your personal use and ownership, and what you need to take action on.
Together, both tabs connect your inventory with actual usage, helping you make better access, security, and license optimization decisions for your team.
apps
apps is the central inventory for the SaaS tools discovered in your organization. Use filters and saved views to review all apps, managed apps, new business apps, unidentified apps, non-business apps, and apps with access or ownership concerns.

Contracts
Contracts provide a centralized inventory of SaaS agreements and renewal obligations. Use it to understand which vendors your organization has contracts with, who owns each contract, how much it’s worth, and when key terms or renewal dates are approaching. This also helps identify unused entitlements and avoid unexpected contract commitments.

Devices
Devices provide visibility into company-managed hardware and its relationship to employees and offboarding processes, as well as lifecycle management. Device information typically comes from mobile device management integrations, for example, Jamf or Intune.

Spend
Spend helps teams understand how much the organization spends on SaaS apps. Spend data can be imported through finance integrations or uploaded manually. These reports help IT and Finance prioritize cost-saving actions and improve budget visibility. Paired with contract data, the Spend tab can help you understand contracted vs actual spend to spot discrepancies. It’s also a potential source of app discovery.

AI Consumption
AI Consumption provides a consolidated view of AI usage and spend across supported AI apps and providers giving you granular insight into AI tool usage and costs. AI consumption data is calculated from provider APIs and is intended to complement, rather than replace, an organization’s broader finance and cloud-cost management processes.

Access
Access helps administrators manage and review who can access business apps, what level of access they have, and whether that access is appropriate. For apps without automated provisioning or deprovisioning, SaaS Manager can create tasks with app-specific instructions so an administrator can complete the action manually.

Reports
Reports provide focused, filterable views of the data collected across SaaS Manager. They helps administrators investigate app usage, access, spend, contracts, people, devices, and operational work without manually reviewing the full inventory. Most reports are filtered views of apps or other assets, and can be pinned for quick access.
Common reports include things like access management and access issues, account engagement and account risk, and active tasks.
Assessments
Assessments capture qualitative feedback from employees and app users. They can be used when usage data alone doesn’t explain why an app is being used or whether it should be retained. You can use the Assessments tab to create targeted surveys about an app or usage pattern to discover which tools and features team members rely on or to collect information about business requirements, ownership, and perceived value.

Tasks
Tasks are the handoff point between the SaaS Manager automated workflows and work that still requires human action. When SaaS Manager cannot complete a step automatically, it creates a task, assigns it to the appropriate owner, and tracks the work through completion.

Workflows
Workflows help administrators automate common recurring processes to manage updates consistently and efficiently, identify opportunities to reduce unnecessary costs and security risks, and save you time to focus on more important complex tasks. Workflows can also create tasks for manual follow-up when an integration doesn’t support automation.

People
People provide an employee-centered view of SaaS access, app usage, and lifecycle activity. This helps administrators understand access from your employees’ perspective, support onboarding and offboarding workflows, and identify gaps such as former employees who still have active app access.

Integrations
Integrations is home to the catalog of connections curated by SaaS Manager, and provides the interface to use those connections. Integrations determine the depth of visibility and automation available in SaaS Manager. When an app supports automated actions, SaaS Manager can use the connection for onboarding, offboarding, access requests, license optimization, and access reviews.
Learn about which integrations are available and how to connect them.
Teams
Teams organize employees into groups that can be used to manage access and apply policies at scale. Teams help organizations apply consistent policies without configuring access individually for every employee.
Learn how to import or manually create teams and add people to them.
Audit logs
Audit Logs provide a record of activity within the SaaS Manager account. They support security investigations, troubleshooting, compliance reviews, and audit preparation. Administrators can use the audit log to verify account activity, investigate changes, confirm workflow actions, and identify unusual behavior. Audit log data can also be accessed through the SaaS Manager API for integration with SIEM or other monitoring systems.
Settings
Settings is the administrative control center for configuring how SaaS Manager collects data, manages access, and communicates with users. It’s where administrators define the rules and defaults that shape the rest of the platform.
Settings help SaaS Manager reflect your organization’s structure and operating model. For example, identity and team settings determine how employees are grouped, while App Catalog and access policy settings determine what employees can request and which approvals are required.
App Catalog
The App Catalog gives you visibility into your SaaS inventory. You can sort, filter, and assign statuses to apps discovered in the 1Password SaaS Manager App Catalog, including multiple instances of the same app. Team members can use the App Catalog to discover which apps are available in your organization, see what level of access they can request, and make those requests.
A typical administrator workflow
Workflows and processes can vary based on your environment, data sources, integrations, and other variables, but a typical admin workflow usually looks like:
- Connect data sources and integrations to populate the inventory.
- Review apps and triage newly discovered or unmanaged apps.
- Assign owners and classify apps so responsibility is clear.
- Configure the App Catalog and access policies for approved apps.
- Review access, usage, spend, and renewal data to identify risk and savings opportunities.
- Create workflows and manage tasks to automate or track ongoing SaaS operations.
